Professional invoicing serves purposes beyond collecting payment. The cleaning professional who sends professional invoices through a proper system is positioned differently in the client's mind than the one who says "that's $185" at the door. The invoice is the document that transforms a transaction into a professional record β€” one that both parties can reference, one that creates a shared understanding of what was agreed, and one that protects both sides if questions arise.

What Every Professional Invoice Must Include

Your Business Information

Your legal name or registered business name. Your contact information β€” phone number and email. Your business address if you have a dedicated business address (for home-based professionals, a P.O. box is a reasonable alternative to disclosing your home address).

If you have obtained an EIN (Employer Identification Number) from the IRS for your business, include it. If not, do not include your Social Security Number on invoices β€” your SSN is for IRS filings and 1099 situations, not for standard client invoicing.

Client Information

The client's name, the service address (important for distinguishing clients who may have multiple properties), and the client's email address. This information links the invoice specifically to the client and property, which matters if you ever need to reference it in a conversation or legal context.

Invoice Number

This numbering system serves several purposes: it makes organizing your financial records simple, it allows both parties to reference specific invoices by number in communication, and it creates a continuous record that shows any gaps.

If you have been cleaning for years without numbering invoices, start now with #001 or with a number that reflects approximately how many sessions you have completed.

Invoice Date and Due Date

The date the invoice was issued and the specific date payment is due. "Due on receipt" is appropriate for same-session payment from recurring clients. "Due within 7 days" is standard for commercial clients. "Due within 30 days" is used in formal commercial contexts where the client's accounts payable department processes invoices on a cycle.

Do not leave the due date vague β€” "please pay soon" or no due date specified β€” for any client with a history of late payment or for any new client relationship.

Service Description

This is where most informal invoices fall short. The service description should be specific enough to document what was done.

Not adequate: "Cleaning services β€” $185"

Adequate: "Residential cleaning service, 3BR/2BA home at [address], standard biweekly session β€” $185"

More complete: "Residential cleaning service β€” standard session β€” $185; Add-on: oven interior cleaning β€” $45; Total β€” $230"

The specificity creates a shared record of scope. If a client later disputes whether certain work was included, the invoice is the reference document.

Amount and Payment Instructions

The total due, stated clearly. If you have itemized multiple services or add-ons, list each with its individual amount and then the total.

Payment instructions should be exact: "Zelle to [phone/email]," "Venmo to @[username]," "check payable to [your legal name]." The cleaner the payment instructions, the faster the payment β€” clients who have to figure out how to pay you introduce delay into every transaction.

Late Payment Terms

For commercial clients, property managers, or any recurring client who has a history of late payment: state your late payment terms explicitly on every invoice. "Invoices unpaid after 14 days are subject to a $15 late fee" or "a 1.5% monthly late fee applies to balances unpaid after 30 days."

Stating this on the invoice β€” even if you stated it in your service agreement β€” reinforces that the policy exists and that you apply it.
